Executive Assistant to the CEO

Wise Resource Development (WISE) is seeking a highly capable, proactive and detail-oriented Executive Assistant to support the CEO and contribute to the effectiveness of the organization. This is an entry-level, growth-oriented role designed for a high-potential individual at the beginning of their career who is eager to learn, take on responsibility and develop strong operational and leadership skills over time.

This role goes beyond traditional administrative support and will involve managing priorities, supporting execution and helping create the structure and organization needed for the CEO to operate at a high level, with increasing ownership and independence over time.

This is a critical role that directly impacts the effectiveness of the CEO and the overall success of the company. WISE is a highly supportive, team-oriented environment. The Executive Assistant will work closely with the CEO and have access to mentorship and guidance from experienced team members, including senior staff who have grown into their roles within the company. This role is designed to provide both support and challenge, with clear expectations and the resources needed to succeed and grow.

Role Summary

The Executive Assistant is responsible for supporting the management of the CEO’s time, priorities and workflow while contributing to the effective execution of day-to-day operations and key initiatives. This role requires strong organizational skills, sound judgment and a willingness to develop the ability to anticipate needs and act proactively over time.

This individual will support project coordination, internal communication and select client-related work, contributing to the overall effectiveness and efficiency of the organization while building increasing ownership and independence in the role.

Key Responsibilities

Executive Support & Priority Management

  • Manage and prioritize the CEO’s calendar to align with company priorities, ensuring time is protected for high-impact work

  • Oversee and manage email communications, including drafting responses, prioritizing messages and ensuring timely follow-up

  • Coordinate internal and external communications on behalf of the CEO and other senior leaders with professionalism, clarity and accuracy

  • Prepare materials, agendas and follow-up actions for meetings to ensure efficiency and effectiveness

Operational Execution & Project Management

  • Own execution of administrative and operational tasks that support the CEO’s effectiveness and productivity

  • Track and manage key projects and initiatives, ensuring deadlines are met and deliverables are completed

  • Maintain organized systems, documentation and workflows that improve efficiency and reduce friction

  • Manage client invoicing and tracks outstanding payments to ensure timely collection

  • Identify gaps, inefficiencies or risks and proactively propose and implement solutions

Client & Strategic Support

  • Conduct research and prepare materials to support client work, grant proposals and strategic initiatives

  • Support execution of client-related deliverables as needed, including drafting and coordination

  • Assist in ensuring high-quality, timely work product aligned with WISE standards

Executive Leverage & Support

  • Provide support with select personal responsibilities, including pet management of two enthusiastic dogs and one expressive tortoiseshell cat, to ensure the CEO can maintain focus on company priorities

  • Exercise discretion, sound judgment and confidentiality in all aspects of the role

Key Performance Indicators (KPIs)

  • Effectiveness of calendar management and prioritization of CEO time

  • Timeliness and quality of communication and follow-through

  • Completion of tasks and projects within established deadlines

  • Ability to anticipate needs and reduce reactive work

  • Organization and maintenance of systems, files and workflows

  • Contribution to improving operational efficiency and CEO effectiveness

Qualifications

  • Strong organizational and time management skills with the ability to manage multiple priorities

  • Excellent written and verbal communication skills

  • High level of discretion and professionalism

  • Proficiency in productivity tools (Microsoft Office, Monday, etc.)

  • Ability to think critically, solve problems and operate independently

  • Passion for supporting organizations that make a positive social impact

Requirements

  • Must live in the Dallas-Fort Worth area

  • Comfortable working in an environment with pets (dogs and cat) present daily, including direct handling, care and supervision as needed

  • Degree preferred

  • Must be enthusiastic about corporate-supported personal and professional development

  • A passion for and commitment to social justice and mission work

  • Alignment with WISE mission, values and social impact commitment

  • Valid driver’s license

Compensation & Benefits

WISE offers a competitive compensation and benefits package, including healthcare, dental, vision, life insurance, long-term disability and 401K matching. Paid time off includes three weeks, holidays, volunteer time and additional benefits aligned with our commitment to employee well-being.

Starting salary: $55,000 plus revenue sharing.
